Frequently Asked Questions

How do I get an account?

AvPics is licensed to organizations, not to individuals — there is no in-app signup. Your company administrator provisions your account from the AvTools web portal, and you sign in to the app with that email and password. Contact your administrator to be added, or email us if your company isn't set up yet.

How do I start a batch?
  1. Tap New Batch from the Dashboard or Capture screen
  2. Scan the barcode, or type the order / inventory number
  3. AvPics verifies the number against your connected ERP before the batch is created — a batch is never opened against a record that doesn't exist
  4. Pick the inspection stage (Receiving / In-process / Outgoing), then capture

Photos are grouped into batches by order number, inventory ID, or a custom reference.

Does AvPics work offline?

Yes — AvPics is offline-first. Photos always save to device storage first, so nothing is lost without a signal, and you can mark defects and review batches while offline. The sync queue drains automatically when the network returns and retries on failure. Check Settings → Sync to see anything still queued or failed.

How do I mark defects on a photo?
  1. Open a photo from the batch
  2. Tap Mark Defects
  3. Annotate with the drawing tools
  4. Add the defect type, severity, and notes
  5. Save the annotations

Each defect is numbered sequentially and carried into the defect summary table on the report.

Why does my report say UNSEALED?

Official inspection reports are rendered and sealed by the AvTools portal, not on the phone — that is what carries the PAdES signature and trusted timestamp. When the portal is unreachable (offline, signed out, or the batch hasn't synced yet), AvPics falls back to a device-generated PDF so you still have something to share, and marks it UNSEALED. Once the batch syncs, re-push it to get the sealed copy filed to your ERP.

Which ERP systems are supported?

Salesforce / AvSight and Smart145 are supported today. SharePoint Online is set up per account — each customer brings their own Azure AD tenant and app registration, so email us to enable it for your team.

My photos aren't reaching the ERP — what should I check?
  • Are you online? The offline chip appears at the top of the capture and batch screens
  • Tap the sync icon to see what's still queued
  • Check Settings → Sync for failed items
  • In the portal's Batches list, a batch whose ERP push failed shows a red ERP Error · Retry badge — click it to re-run the push

Upload to the cloud and push to the ERP are separate steps: a batch can be safely in the cloud while its ERP push is still pending or failed.

What is QC Station Mode?

Station Mode turns a mounted phone into an inspection-bench camera. Activate it on the phone, then open avtools.aero → QC inspection station on your workstation and enter the pairing code (or scan the QR). The live preview streams over your local network so an inspector can frame and shoot from the desk.

How do I manage licenses?

Seat licensing is handled by your company administrator in the AvTools web portal at avtools.aero. There are no in-app purchases or subscriptions. Contact your administrator for any license change, or email us for company-level questions.

Can't log in?
  1. Check the email and password are correct
  2. Use Forgot Password to reset — the link opens back in the app
  3. Ask your company administrator to confirm your account is still active
  4. Email us if it still fails
